Purpose of the Position
The Receptionist shall serve as the first point of contact for visitors, employees, and external stakeholders. The role is responsible for managing front desk operations, handling communications, coordinating visitor services, and providing administrative support to ensure a professional, efficient, and welcoming office environment.
Key Responsibilities
Front Desk Management
• Welcome visitors, guests, and officials professionally.
• Manage visitor registration and issue visitor passes in accordance with security procedures.
• Direct visitors to appropriate departments and meeting rooms.
• Maintain an organized and professional reception area.
Communication Management
• Answer, screen, and transfer telephone calls.
• Receive and respond to general inquiries through telephone, email, and other communication channels.
• Record and relay messages accurately and promptly.
Administrative Support
• Receive, record, and distribute incoming correspondence and courier deliveries.
• Coordinate outgoing mail and courier services.
• Maintain reception logs and visitor records.
• Assist in scheduling meetings and coordinating meeting room bookings.
• Provide administrative support to various departments as assigned.
Coordination
• Liaise with security personnel regarding visitor access.
• Coordinate with housekeeping and administration to maintain front office standards.
• Assist during official events, meetings, and VIP visits.
Compliance
• Maintain confidentiality of organizational information.
• Follow organizational policies and security procedures.
• Ensure accurate record management in accordance with office procedures.
Qualifications
• Minimum Intermediate from a relevant board-recognized institution.
• Diploma or certification in Office Administration or Customer Service shall be an added advantage.
Experience
• Minimum 2 years of relevant experience as a Receptionist, Front Desk Officer, Customer Service Representative, or Administrative Assistant.
• Experience in government organizations, public sector entities, or reputable corporate organizations will be preferred.
